STAFF & CONTRACTOR PRIVACY, TECHNOLOGY & COMMUNICATIONS POLICY

Effective Date: August 2025


1. PURPOSE

JFORCE Security Inc. (“JFORCE“, “Company“, “we“, “us” or “our) respects the privacy of its employees, security guards, private investigators, supervisors, managers, contractors, vendors, partners, affiliates and other personnel.

At the same time, the nature of JFORCE’s security and investigative operations requires the Company to collect, use and monitor certain information to manage personnel, protect people and property, verify work performed, meet client and regulatory requirements, maintain operational accountability and communicate effectively.

This Policy explains what information JFORCE may collect and how JFORCE may use its technology and communication systems in connection with personnel.

This Policy supplements, and does not replace, an individual’s employment agreement, contractor agreement, Code of Conduct, SOPs, policies, training requirements or applicable law. Where a specific written agreement or legal requirement conflicts with this Policy, the applicable specific agreement or law will govern.

2. INFORMATION JFORCE MAY COLLECT

Depending on the person’s role and operational requirements, JFORCE may collect and maintain information including:

  • name and contact information;
  • identification and licensing information;
  • security and investigative licence information;
  • SIN and payroll information;
  • banking and payment information;
  • driver’s licence and vehicle information;
  • background and screening information;
  • emergency contact information;
  • training, qualification and certification records;
  • photographs and profile information;
  • scheduling and assignment information;
  • attendance and time records;
  • GPS and location information;
  • communications and correspondence;
  • incident and occurrence reports;
  • performance and administrative records;
  • workplace or disciplinary records;
  • information relating to workplace investigations;
  • device and system information; and
  • other information reasonably necessary for employment, contracting, licensing, safety, security or business operations.

JFORCE will collect and use information in accordance with applicable law and for legitimate employment, contractual, operational, security, investigative, regulatory and business purposes.

3. JFORCE TECHNOLOGY SYSTEMS

JFORCE may use technology platforms and applications to manage its workforce and operations.
JFORCE may add, replace or modify technology platforms as its operational requirements evolve.

4. WORK-RELATED LOCATION AND GPS MONITORING

JFORCE may use GPS and location technology while personnel are working.

Location information may be used to:

  • confirm attendance;
  • verify arrival and departure;
  • confirm presence at assigned locations;
  • support scheduling and dispatch;
  • verify completion of assignments;
  • respond to emergencies;
  • support client requirements;
  • investigate incidents;
  • protect personnel;
  • maintain operational accountability; and
  • meet contractual, regulatory or business requirements.

Personnel may therefore be required to maintain location services and the applicable JFORCE application enabled while working.

JFORCE does not intend work-related GPS monitoring to constitute continuous personal monitoring outside working hours.

Where the applicable system permits location monitoring to be disabled when not working, personnel may turn off that function outside working hours, subject to any specific operational requirement, emergency circumstance, Company policy or legal requirement.

5. DEVICES AND CONNECTIVITY

Personnel who are required to use a mobile device or   for work are responsible for maintaining reasonable access to required JFORCE systems while working.

This includes ensuring that the device is:

  • sufficiently charged;
  • operational;
  • connected to an appropriate network;
  • capable of receiving required communications;
  • equipped with required applications; and
  • supported by reasonable access to charging and data/connectivity.

Failure to maintain required access may affect the person’s ability to perform an assignment and may be addressed as an operational or performance matter.

Where JFORCE provides a device, that device remains JFORCE property and may be subject to additional monitoring, security and acceptable-use requirements.

6. COMMUNICATIONS

JFORCE may communicate with personnel through:

  • telephone;
  • email;
  • SMS/text;
  • WhatsApp;
  • Connecteam;
  • Microsoft 365;
  • Google Workspace;
  • Slack;
  • other designated messaging systems; and
  • future communication platforms adopted by JFORCE.

Personnel are responsible for monitoring designated JFORCE communication channels when they are required to do so, particularly while on duty or otherwise responsible for an active assignment.

Personnel must promptly report technical problems that prevent them from receiving required work communications.

7. TIMEKEEPING AND ATTENDANCE

JFORCE may use electronic systems to record and verify:

  • hours worked;
  • clock-in and clock-out times;
  • assignment attendance;
  • location;
  • breaks;
  • job-site presence;
  • assignment completion; and
  • other information required for payroll, client billing, operational management or regulatory purposes.

Personnel must accurately record their time and must not falsify, manipulate or permit another person to falsify time, attendance or location records.

8. PHOTOGRAPHS, VIDEO AND AUDIO

JFORCE may use photographs, video and audio recording as part of its security, investigative, operational, training, safety and administrative activities.

This may include:

  • body-worn cameras;
  • vehicle and dash cameras;
  • CCTV;
  • photographs;
  • video;
  • audio recording;
  • incident recording; and
  • other lawful recording technologies.

Personnel may be recorded while working or while present in locations where JFORCE or its clients lawfully conduct recording.

Personnel may also be required to use recording equipment as part of an assignment.

Recording and use of recordings will be subject to applicable law, client requirements, JFORCE policies and legitimate operational purposes.

9. INCIDENTS, INVESTIGATIONS AND EVIDENCE

JFORCE may collect, create, retain and review information relating to incidents, complaints, investigations, workplace matters, client concerns, security events, safety issues and potential policy violations.

This may include:

  • reports;
  • photographs;
  • video;
  • audio;
  • messages;
  • emails;
  • GPS/location records;
  • time records;
  • access records;
  • witness information;
  • statements; and
  • other relevant evidence.

JFORCE may use this information for operational review, investigation, training, disciplinary processes, insurance, legal matters, regulatory compliance, law enforcement cooperation and other legitimate purposes.

Personnel must preserve and provide relevant information when reasonably required for an authorized investigation.

10. PRIVATE INVESTIGATIONS AND OSINT

Personnel involved in investigative work may be required to collect, analyze, document or process information obtained through lawful investigative methods, including publicly available information, OSINT, interviews, surveillance, photographs, video, records and information supplied by clients.

Investigative information must only be accessed, collected, used or disclosed for authorized purposes and in accordance with applicable law, licensing requirements and JFORCE procedures.

11. ACCESS TO PERSONNEL INFORMATION

Access to personnel information is restricted based on operational need and authorization.

JFORCE may provide information to authorized persons or organizations where reasonably necessary for:

  • employment or contractor administration;
  • payroll;
  • scheduling;
  • licensing;
  • training;
  • client requirements;
  • security operations;
  • investigations;
  • insurance;
  • legal matters;
  • regulatory compliance;
  • emergency response; or
  • other legitimate business purposes.

This may include authorized directors, officers, managers, employees, contractors, clients, service providers, insurers, lawyers, regulators, law enforcement and other appropriate parties.

12. THIRD-PARTY TECHNOLOGY PROVIDERS

JFORCE relies on third-party technology providers to support its operations.

Information processed through these platforms may be stored or processed by the applicable provider in accordance with its contractual terms, security practices and privacy policy.

JFORCE may use providers located in Canada, the United States or other jurisdictions where necessary to operate its business.

Personnel acknowledge that use of JFORCE-designated technology may therefore involve third-party processing and, in some circumstances, cross-border processing.

13. CONFIDENTIALITY AND SECURITY

Personnel must protect JFORCE information and the information entrusted to JFORCE by clients, employees and other parties.

Personnel must not:

  • share JFORCE passwords or credentials;
  • allow unauthorized persons to access JFORCE systems;
  • photograph or copy confidential information without authorization;
  • forward confidential or operational information to personal or third party accounts without authorization;
  • use JFORCE information for personal purposes;
  • disclose client, employee or investigative information without authorization;
  • access information unrelated to their role; or
  • use JFORCE systems in a manner that compromises security.

Personnel must immediately report suspected loss, unauthorized access, disclosure, theft or compromise of JFORCE information or systems.

14. PERSONAL USE OF JFORCE SYSTEMS

JFORCE systems and devices are primarily provided for legitimate business purposes.

Limited personal use may be permitted where consistent with Company policy, provided that such use:

  • does not interfere with work;
  • does not create a security risk;
  • does not involve unlawful or inappropriate activity;
  • does not compromise confidential information; and
  • does not create unreasonable cost or liability for JFORCE.

JFORCE may restrict or remove access to its systems where necessary to protect Company information, clients, personnel or operations. Restriction or removal does not necessarily indicate termination.

15. MONITORING AND AUDIT

JFORCE may monitor, review, audit and retain information generated through Company systems where reasonably necessary for legitimate business, operational, security, employment, investigative, legal, regulatory or safety purposes.

This may include system access logs, communications metadata, time records, location information, application activity, incident records and other operational information.

Monitoring will be conducted in accordance with applicable law and JFORCE policies.

16. PRIVACY AND LEGAL COMPLIANCE

JFORCE will handle personal information in accordance with applicable privacy and employment laws.

Nothing in this Policy is intended to remove or limit rights that cannot lawfully be removed or limited.

Where consent is legally required, JFORCE will obtain consent in the manner required by law.

Where information may lawfully be collected, used or disclosed without consent, JFORCE may do so for the applicable legitimate purpose.

17. RETENTION OF INFORMATION

JFORCE may retain personnel information for as long as reasonably necessary to:

  • administer employment or contracting relationships;
  • meet licensing or regulatory requirements;
  • process payroll;
  • maintain business records;
  • investigate incidents;
  • preserve evidence;
  • address disputes;
  • maintain insurance;
  • comply with legal obligations; or
  • protect legitimate Company interests.

Information will be securely deleted, destroyed or anonymized when no longer reasonably required, subject to applicable retention requirements.

18. PERSONNEL RESPONSIBILITIES

By working with JFORCE, personnel agree to:

  • use designated JFORCE systems as directed;
  • maintain accurate information;
  • accurately record time and attendance;
  • use required location and workforce-management functions while working;
  • maintain reasonable device and connectivity access while on duty;
  • protect credentials;
  • maintain confidentiality;
  • promptly report security or privacy incidents;
  • communicate with team leads, management and the back office promptly as needed;
  • cooperate with authorized investigations;
  • comply with applicable JFORCE policies and SOPs; and
  • use Company technology only for authorized purposes.

Failure to comply may result in operational, contractual or disciplinary action, up to and including termination of employment or the contractor relationship, subject to applicable law and the relevant agreement.

19. ACKNOWLEDGEMENT

By accepting employment or a contractor relationship with JFORCE, accessing JFORCE systems, accepting an assignment, using Connecteam or another designated platform, or continuing to perform work for JFORCE, personnel acknowledge that they have been provided an opportunity to review this Policy.

Personnel understand and acknowledge that JFORCE’s security and operational requirements may require the collection and use of work-related personal information, including time, attendance, location, communications, photographs, video, audio and other operational information.

Personnel further acknowledge that designated JFORCE technology may be required for the performance and verification of their work.

JFORCE encourages personnel to raise privacy or technology concerns promptly so that they can be reviewed and addressed appropriately.

21. POLICY UPDATES

JFORCE may update this Policy from time to time to reflect changes in law, technology, security practices, client requirements or Company operations.

The current version will be made available through the Company’s designated communication or workforce-management systems.
